Records Storage Work Instruction


Purpose: The purpose of this instruction is to improve the control of records storage.

ULV Record Storage Label
Records Inventory

Procedure:

1.0 Requestor completes the ULV Record Storage Label in permanent marker for each box and places it inside a sheet protector and attaches it to the front of the carton:
1.1Department
1.2Contact/Extension
1.3Description of contents (i.e. - Vendor Files - 2005-2006 - A-F)
1.4Date (to storage)
1.5Destroy date
1.6Box # ___ of ___
2.0 Requestor fills out Records Pick-Up Receipt.
2.1Make (2) copies
3.0Requestor emails the purchasing department to arrange pick-up.
4.0Purchasing signs both copies of the Records Pick-up Receipt then leaves one with the requestor.
5.0Purchasing places cartons in storage.
6.0Purchasing enters placement of cartons into inventory.
